The five pricing models you'll encounter
Pricing models in the Indian school ERP market are inconsistent. The five most common patterns, roughly in order of frequency:

- Per-module per-school — useful for schools that only want admissions + fees, risky if you grow into more modules
- Flat per-school per-year — attractive for small schools, expensive for large
- Per-student per-year — lump-sum annual, often discounted vs monthly
- Tiered freemium — basic tier free, advanced tier paid; rare but emerging
What drives pricing within a model
Within per-student per-month — the dominant model — the price varies based on student count band, module bundle, payment frequency (annual vs monthly), and whether you're a single school or a multi-campus trust.
Schools with under 500 students typically pay ₹40-80 per student per month. Schools with 500-1500 students typically pay ₹25-50 per student per month. Schools with 1500+ students often negotiate down to ₹15-30 per student per month. Multi-campus trusts get further volume discounts.
Hidden costs to watch for
The advertised price is rarely the actual price. Common hidden costs:
- Mobile app: some vendors charge ₹5-15 per student per month extra for the parent and teacher apps
- SMS bundles: ₹0.18-0.30 per SMS, charged on top of platform fees, can add ₹10,000-50,000/year for a 1000-student school
- Payment gateway fees: 2-3% of fee collections via UPI/cards, depending on whether it's pass-through or built-in
- Setup / onboarding fee: ₹0 to ₹50,000+, often negotiable
- Custom report templates: some vendors charge ₹5,000-25,000 per custom report
- API access / integrations: often a paid add-on ranging ₹10,000-50,000/year
- Annual minimum: some vendors enforce a 500-student minimum even if you have fewer
What value tiers actually mean
Most vendors offer tiered packages — Basic, Standard, Premium, Enterprise — with marketing names like 'Lite', 'Pro', and 'Plus'. The names don't matter; what matters is which features are gated to higher tiers.
Common features gated to higher tiers: parent and teacher mobile apps, custom report-card templates, multi-campus support, SMS / WhatsApp templates, advanced analytics, API access, and DPDPA-compliant audit logs. Before signing, list every feature you'll use in 18 months and confirm the tier you're picking includes them.
Doing a realistic 3-year projection
Don't compare ERPs on year-1 cost alone. Build a 3-year projection. Year 1 includes setup, training, and any custom work. Years 2 and 3 typically see 5-15% price increases on the per-student rate. Add SMS, payment-gateway, and custom-template costs to all three years.
A typical projection for a 1000-student school looks like: Year 1 ₹4-8 lakhs, Year 2 ₹3-5 lakhs, Year 3 ₹3.5-6 lakhs. The vendor that quoted ₹2.4 lakhs for Year 1 might end up at ₹14 lakhs over 3 years once add-ons are included.
Negotiating leverage
Pricing in this market is more negotiable than vendors initially indicate. Leverage points:
- Annual prepayment: typically 10-20% discount vs monthly
- Multi-year commitment: 5-15% additional discount for 2-3 year contracts
- Multi-campus volume: significant discounts for trusts with 3+ campuses
- Off-cycle signing: vendors are more flexible in Dec-Feb than Apr-Jun
- Reference customer status: agreement to be a case study often unlocks 5-10% discount
Red flags in pricing conversations
Watch for: prices that change between the first call and the formal quote, opaque add-on pricing ('we'll figure that out later'), tier upgrades pushed mid-year ('you'll need Premium for that feature'), and aggressive auto-renewal clauses without clear price-protection.
A vendor whose pricing is hard to pin down before signing will be hard to work with after signing. Get every line item in writing. If they push back on this, that's the answer to your evaluation question.
